Reporting to the Manager of Enterprise Events, the Marketing Events Specialist will work closely with them to deliver client events and conferences across TMX Group. The Marketing Events Specialist will be instrumental in performing a client-centric approach to TMX Group’s events. This role focuses on the end-to-end coordination of a diverse range of in-person events and large-scale conferences, ensuring high-quality delivery for both internal and external collaborators. Based in Montreal, this hybrid position requires a proactive professional to manage production logistics, financial tracking, and vendor relations while maintaining exceptional attention to detail. Success in this role involves adapting to the unique schedules of in-person events, which may include occasional early starts or evening engagements. This role is hybrid (2 - 3 days / week in the office) - based in Montreal, QC.
Key Accountabilities
- Event & Conference Coordination
- Support end-to-end coordination of in-person events and conferences for internal clients and external collaborators, from intimate executive functions to large-scale conferences.
- Help manage conference production logistics, including registration systems, speaker outreach and management, attendee engagement strategies, and comprehensive day-of-show execution.
- Facilitate TMX events, serving as key liaison for event logistics and client communications.
- Organize pre-event communications, on-site registration, and post-event follow-up activities.
- Provide detailed event reports including attendance metrics, budget analysis, and post-event recommendations.
- Support sponsorship coordination, including package development, sponsor deliverables, revenue tracking, and liaison with sales teams.
- Ensure sponsor recognition and deliverables are driven according to contractual agreements.
- Coordinate tradeshow booth logistics including design, shipping, setup, and breakdown.
- Manage tradeshow registrations, sponsorship opportunities, and promotional material distribution.
- Financial Management & Vendor Relations
- Manage event budgets and tracking of expenses.
- Process vendor payments and maintain payment schedules to ensure timely settlement of invoices.
- Coordinate conference sponsorship payments, internal registration, contracts.
Must Have(s)
- 3-5 years of experience in event management and conference coordination.
- Excellent communication in French and in English required (contacts and collaboration with clients and colleagues in English only might be needed).
- Education in Event Management, Marketing, Communications, or related field would be valued.
- Exceptional organizational and project management skills with strong interpersonal skills and ability to manage multiple tasks at once.
- Background in B2B conference and trade show management.
- Proven ability to thrive under pressure while maintaining exceptional attention to detail.
Nice to Have
- Professional event management certification (CMP, CSEP, or similar).
- Proven expertise with event management platforms and tools (Google Suite, Asana, Swoogo).
- Experience in the Canadian financial services or capital markets industry.
- Experience managing corporate sponsorship programs.
