JLL is seeking a Manager, Operational Services for a strategic position focused on data analysis and complex problem-solving. This professional supports the property management team in optimizing services and operations, proactively identifies irregularities and implements corrective actions to address stakeholder concerns in a timely and professional manner. They develop and maintain trusted relationships with internal and external partners, and serve as the primary point of contact between departments, clients and tenants regarding projects, maintenance, repairs, events and emergency management. Their main objective is to optimize operational processes, budget management and contract oversight, while ensuring regulatory compliance.

What You’ll Be Doing

  • Manage, optimize and improve the service call system (PRISM / Building Engine).
  • Ensure proper distribution and execution of ongoing tickets, maintenance activities and projects.
  • Manage the Operations team SharePoint site, including projects, maintenance, incidents and regulatory / legislative documentation.
  • Document on-site activities and interventions, as well as technical staff allocation, including Marketing activations and Specialized Leasing.
  • Collect and analyze appropriate data to support business decisions.
  • Support managers in developing and implementing departmental procedures and processes.
  • Support the administrative team with preparation and optimization of OPEX and CAPEX budgets and quarterly reviews.
  • Respond to emergency calls and take effective corrective measures.
  • Ensure compliance of tenant invoicing.

Tenants projects and fit-out

  • Support the Senior Manager with documentation and preparation of the property’s 10-year Capex plan.
  • Assist the Senior Manager with administrative tasks for specific CAPEX projects.
  • Support project managers and Tenant Service Coordinators and act as on-site liaison for site visits and technical needs.
  • Ensure legislative requirements and tenant / client safety are observed during worksite execution.
  • Manage chargebacks and penalties for service providers and contractors.
  • Contract Management

  • Support on-site supervisors in implementing contract monitoring tools.
  • Collect and analyze data provided by on-site supervisors, ensure service levels are met and recommend changes or optimizations.
  • Ensure supplier compliance with current safety and security protocols.
  • Review maintenance costs and exercise budgetary control.
  • Support procurement teams with tender processes.
  • Team Management

  • Establish and maintain effective communication with employees to deliver optimal services to buildings.
  • Supervise, coach, evaluate performance and ensure development of team members (e.g., Coordinator, Operations and Projects).
  • What We’re Looking For

  • Bachelor's degree in facilities management or construction.
  • At least seven (7) years of relevant experience in similar roles in commercial real estate management.
  • Knowledge of current practices in Quebec's construction industry.
  • Ability to interpret plans, specifications and technical drawings.
  • Proficiency in facilities management software as well as the Office suite.
  • Must hold a valid ASP card.
  • Mastery of French language, both written and oral.
  • Ability to analyze complex technical problems and think creatively.
  • Analyze and interpret complex data.
  • Demonstrate professionalism and attention to detail.
  • Skills in planning and priority management.
