Compensation Range : $60K Canadian Dollar, Annual

Reports To : International Operations Manager

This Associate would be key to a top-shelf client, work at the client’s location, and will provide superior logistic, administrative and accounting support to the client with daily monitoring and client shipping support. The Specialist coordinates and manages the end-to-end import / export processes, ensuring timely movement of a client’s goods across different countries and regions, while providing exceptional customer service in promptly and professionally addressing client's inquires and concerns. Manages relationships with international carriers, negotiates rates and secures optimal shipping options for clients. Collaborates with various departments, including finance and customer service, to ensure seamless operations.

Location : Dome Productions, Toronto, Ontario, Canada

Job Type : Full-time in office

Work Schedule : Normal weekday (Monday-Friday) hours with possible 24 / 7 availability (late night / weekend) as required : Compensation time available and adjusted for after-hours / weekend activity.

Experience : Entry level (recent college graduates welcome to apply)

Key Responsibilities :

  • Monitor shipping activity in SOS Global Express’ shipping program(s).
  • Ensure routing is in place and subsequent moves are executed in a timely / linear manner. Verify w / Operations (Ops), Agents & Carriers regarding elements missing or not matching. Follow up thru Proof of Delivery (POD) status. Alert Ops / Customer Service (CS) / Management to any / all perceived discrepancies in real time.
  • Review pickups, deliveries, transfers, freight searches, operations.
  • Missing / damaged freight : Work with management / escalation / Ops / CS in efforts to locate missing client freight.
  • SOS-Agent / Carrier relationship management for the client and update Ops / Management on evaluations & future changes / additions / adjustments as needed.
  • Assigns proper general ledger account coding.
  • Review submitted invoices and confirm supporting documentation, correct G / L coding, and appropriate approval prior to entering invoice into accounts payable system for payment.
  • Conduct independent research, follow-up, and resolution of PO / variance / matching / receiving issues.
  • Assists in year-end audits and ad hoc projects as required.
  • Assures that invoices are paid timely to receive all appropriate early payment discounts.
  • Comply with all applicable laws / regulations, as well as company policies / procedures.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Protect organization's value by keeping information confidential.
  • Perform filing and other duties as assigned
  • On the client’s behalf, communicate with managers, and techs via phone, text, and email.
  • Communicate work orders and observe workflow progress on shop to ensure work is completed to specified requirements in a timely manner.
  • Any other duties as assigned

Qualifications :

  • Preferred experience but not required :
  • 2+ years’ experience working freight forwarding : Air Freight (AF) Expeditor & / or Air Courier environment. AF, expedited ground, LTL ground, vendor / agent / carrier management / interaction.

  • Experience with accounting systems and Microsoft Office (Excel, Word, PowerPoint, etc.)
  • Must be open to change and an advocate for continuous improvement.
  • Must be highly organized with the ability to multitask
  • Ability to work in a fast-paced and dynamic environment
  • Excellent communication skills
  • Must be results-oriented and willing to take ownership of all assigned projects
