The incumbent is responsible for handling front office reception and administration duties. This includes greeting guests, answering phones, handling inquiries, and undertaking a range of functions to ensure the administration activities within the organization runs smoothly.
Responsibilities
  • Answer telephone calls and transfer to the appropriate parties.
  • Greet visitors, take messages, and reply to questions of general information.
  • Perform basic bookkeeping, filing, and clerical duties.
  • Prepare, order, and maintain office supply inventory.
  • Maintain information systems used by office administration team.
  • Prepares letters, memos and other documents.
  • Continuously ensure reception area is organized.
  • Provide basic back up coverage to Executive Assistants when needed.
  • Carries out any other similar or general tasks when required.

Qualifications
  • Post secondary degree/diploma, and 1-year of related experience.
  • Bilingual (French/English) verbal and written communication skills are assets.*
  • Superb interpersonal and customer service skills, with the ability to interact with individuals at all levels.
  • Well organized, able to manage time and multi-task with conflicting priorities and timelines.
  • Demonstrated ability in core and role specific competencies including teamwork, adaptability, organizational, resourceful, customer
  • service, innovation and problem solving.
  • Familiarity with 5S, Kaizen Principles, Six Sigma or other continuous improvement methodologies is an asset.

* Professional working proficiency in French and English languages required as position involves frequent written and oral communication on complex matters with internal and external parties in both languages.
