Job Description

RESEARCH INSTITUTE OF THE MUHC

The Research Institute of the McGill University Health Centre (RI-MUHC) is a world-renowned biomedical and hospital research centre. Located in Montreal, Quebec, the Institute is the research arm of the McGill University Health Centre (MUHC) affiliated with the Faculty of Medicine at McGill University. The RI-MUHC is supported in part by the Fonds de recherche du Québec - Santé (FRQS).

Position summary

The Research Institute of the MUHC is seeking a Clinical Research Billing Coordinator to join the Finance team and support financial operations related to clinical trials.
In this role, the incumbent will be responsible for preparing and monitoring billing for clinical research studies in accordance with sponsor agreements, study milestones, and institutional financial policies. The individual will ensure that billing activities accurately reflect services delivered, patient visits, and contractual obligations.

General Duties

  • Prepare and issue invoices related to clinical research studies in accordance with sponsor contracts and institutional policies.
  • Generate billing associated with study start-up fees, contractual milestones, patient visits, procedures, and study close-out activities.
  • Ensure invoices are accurate, complete, and supported by appropriate documentation (visit logs, milestone confirmations, contractual schedules).
  • Create and maintain billing tasks linked to study milestones and contractual obligations.
  • Monitor outstanding invoices and communicate with relevant parties to ensure timely collection of payments.
  • Maintain accurate records of amounts billed, payments received, and remaining contractual balances.
  • Identify potential billing delays or discrepancies and escalate them to the Financial Control Analyst or the CIM Portfolio Finance Lead.
  • Open financial accounts related to clinical research studies in the appropriate management systems.
  • Configure billing parameters and financial structures for each study.
  • Process account closures upon completion of clinical studies.
  • Maintain organized electronic records in compliance with audit requirements.
  • Respond to billing-related inquiries from investigators, research coordinators, and administrative teams.

Exigences

Education / Experience

Education: Bachelor's degree in Accounting, Finance, Business Administration, or related field.

Work experience:

  • 3 years of experience in billing, financial administration, or accounts receivable functions.
  • Experience in clinical research finance, project accounting, or research administration is considered an asset

Skills & Knowledge:

  • Strong attention to detail and organizational skills,
  • Excel Proficiency and ERP experience,
  • Strong communication skills in French and English,
  • Understanding of clinical research operations and sponsor agreements is an asset,
  • Ability to work independently while collaborating effectively with finance and research teams.

Required Skills

An advanced knowledge of oral and written English is required, as the position requires regular and complex contact with researchers or international students who are exclusively proficient in English.
