What we are looking for:
We are looking for a key resource in achieving the objectives of our Global Investment Office (GIO) leadership team. The successful candidate will have administrative management, business support, and general communications responsibilities, as well as overseeing the day‑to‑day administrative activities of the GIO. This key position requires a proactive, multi‑tasking individual with a strong sense of responsibility and initiative. Bound by absolute confidentiality, this trustworthy person will need to understand business needs quickly and adapt to various contexts involving diverse stakeholders across investment platforms and corporate functions. Your responsibilities:
- Provide high‑quality administrative and operational support to the three GIO leaders;
- Provide comprehensive executive support by managing calendars and schedules, coordinating travel and expenses, and organizing all activities required to support ongoing priorities;
- Review and approve invoices, monitor departmental expenses; support budget tracking for GIO operations;
- Compile and contribute to committee support materials (memos, presentations, simple Excel) and ensure version control and timely distribution;
- Help organize executive meetings, and leadership offsites/summits led by GIO leaders, including planning and overseeing logistics for meetings and events;
- Leverage collaboration tools (Teams, SharePoint, shared drives) to collect and manage inputs, ensuring efficient preparation and timely delivery of GIO materials and presentations;
- Organize data, generate reports, and assist in the creation of dashboards.
Must have requirements to be successful in this role:
- Post‑secondary education in administrative studies, office management or any other relevant field;
- Prior experience in a similar executive assistant position supporting senior leaders;
- Highly tech savvy, with strong command of Microsoft Office, and a proven ability to use Teams, SharePoint and shared drives to optimize processes and enhance team efficiency;
- Excellent organizational skills; exceptional time‑management and a sustained ability to prioritize work and make informed decisions;
- Value team collaboration and demonstrate a strong sense of tact and diplomacy;
- High autonomy, initiative, versatility, and a strong sense of responsibility and pride in a job well done;
- Excellent ability to understand issues, problem‑solve and be highly adaptable in a fast‑paced, multi‑tasking environment;
- Bilingual in English and French, written and spoken.
