MAKING AN IMPACT
The Canadian Cancer Society (CCS) is seeking an Administrative Coordinator to support the delivery of three major events: Daffodil Dinner, Gala des Grands Chefs, and Daffodil Ball. Reporting to the Executive Director, Corporate and Community Partnerships, the incumbent plays a key role in providing administrative support to teams responsible for logistics, volunteers, and partnerships, ensuring rigorous follow-up on files, compliance with internal processes, and coordination of administrative tasks related to events.

WHAT YOU’LL BE DOING:

Cross-Team Administrative Support

  • Provide administrative support to the Special Events team.
  • Draft meeting minutes, letters, emails, presentations, and other professional documents for partners, suppliers, and guests.
  • Prepare tracking tools, internal presentations (PowerPoint, Excel), event briefs, and post-event reports.

Sales Tracking, Table Purchases, and Event Partnerships

  • Ensure complete follow-up on sales, table purchases, and event partnerships, including receipt and archiving of agreements, coordination of deliverables, recognition, thank-you notes, and documentation in collaboration with the Partnerships team.
  • Maintain up-to-date databases and dashboards related to sales, table purchases, and partnerships.
  • Collaborate with the cross-functional teams to ensure partner visibility in accordance with agreements.

Financial Management and Compliance

  • Track invoices, accounts payable, and receivables related to events.
  • Prepare purchase requests, expense reports, and ensure proper coding to the correct budget lines.
  • Work closely with the Finance team to ensure compliance with CCS internal processes.

Compliance with Internal Processes

  • Ensure strict application of CCS policies and procedures in all administrative steps.
  • Manage documentation according to organizational standards (filing, archiving, traceability).
  • Contribute to continuous improvement of administrative practices and propose solutions to optimize processes.

Other Duties

QUALIFICATIONS:

  • Diploma in administration, office management, event management, or a related field.
  • Relevant experience in administrative support, ideally in an event or philanthropic context.
  • Strong written communication skills and ability to draft clear, professional documents tailored to target audiences.
  • Proficiency in office tools (Microsoft Suite, Excel, PowerPoint) and management platforms (CRM, tracking tools).
  • Knowledge of Salesforce is an asset.
  • Excellent time management skills, ability to meet deadlines and prioritize effectively.
  • Strong organizational skills, attention to detail, autonomy, and ability to manage multiple priorities simultaneously.
  • Strong interpersonal skills, collaborative spirit, and customer service orientation.
  • Bilingualism (French/English) is required due to the organization’s nationwide operations and the need for effective communication across various regions.
