Awards Events Assistant – SOCAN
Location : Montreal, Quebec, Canada
Dynamic, bilingual event support role focused on planning and executing the 2025 SOCAN Gala and related membership sponsorship events.
Responsibilities
- Assist in the planning and execution of the 2025 SOCAN Gala, scheduled for May 3, 2026.
- Compile and maintain the invitation list, coordinating email blasts and managing the awards inbox.
- Coordinate deliverable testing for invitation programs such as Paperless Post and maintain RSVP tracking.
- Organize hotel accommodations, travel reimbursement, and car service for winners; confirm trophy and plaque details for award recipients.
- Prepare plaque copies for trophies and proof content upon arrival of finished awards.
- Collect video footage of winners and walk-up music for presenters, and compile a list of all AV materials for license clearances.
- Perform basic administration: scheduling documents, reports, invitation lists, and booking details with host hotels.
- Double-check all awards documents (pass lists, trophy lists, guest lists).
Education, Experience & Skills
- Minimum of 1–3 years of event experience.
- Bilingual (English & French).
- Strong time-management, organization, and attention to detail skills.
- Excellent written and verbal communication; customer-service orientation.
- Creative thinking, self-starter, and results-oriented mindset.
- Proficiency in Excel, Word, and digital transfer of AV files.
