Awards Events Assistant – SOCAN

Location : Montreal, Quebec, Canada

Dynamic, bilingual event support role focused on planning and executing the 2025 SOCAN Gala and related membership sponsorship events.

Responsibilities

  • Assist in the planning and execution of the 2025 SOCAN Gala, scheduled for May 3, 2026.
  • Compile and maintain the invitation list, coordinating email blasts and managing the awards inbox.
  • Coordinate deliverable testing for invitation programs such as Paperless Post and maintain RSVP tracking.
  • Organize hotel accommodations, travel reimbursement, and car service for winners; confirm trophy and plaque details for award recipients.
  • Prepare plaque copies for trophies and proof content upon arrival of finished awards.
  • Collect video footage of winners and walk-up music for presenters, and compile a list of all AV materials for license clearances.
  • Perform basic administration: scheduling documents, reports, invitation lists, and booking details with host hotels.
  • Double-check all awards documents (pass lists, trophy lists, guest lists).

Education, Experience & Skills

  • Minimum of 1–3 years of event experience.
  • Bilingual (English & French).
  • Strong time-management, organization, and attention to detail skills.
  • Excellent written and verbal communication; customer-service orientation.
  • Creative thinking, self-starter, and results-oriented mindset.
  • Proficiency in Excel, Word, and digital transfer of AV files.
