Tradeshows, Events & Sponsorships Specialist - EN is responsible for planning, organizing, and executing CAE’s tradeshows, events, sponsorships and memberships worldwide with the objective of delivering an exceptional stakeholder experience, an amazing onsite brand experience, in accordance with CAE’s business unit brand strategy and flawless operational execution.

Responsibilities

  • Help create and manage the annual CAE Events and Sponsorships calendar that aligns with the overall marketing strategy.
  • Undertake detailed planning in support of all aspects of events management from pre-event planning to post-event evaluation.
  • Plan and coordinate all steps required to bring successful events to life, including contract negotiations with organizers, budget management, logistics, schedule/agenda management, customer meetings, invitations, registrations and follow-ups, executive briefings (show books) and promo items strategy.
  • Liaise with CAE’s corporate tradeshow team and external partners to ensure smooth event management.
  • Travel internationally to support major tradeshows and conferences and customer events (approximately 25% of time; 4–7 days per event, once or twice a month).
  • Support Marketing Communications in strategies for brand positioning, campaigns, product launches, advertising and promotion, virtual and on-site events, marketing programs and special plans.
  • Analyze and report on ROI of events and optimize event strategy.
  • Build and manage relationships with internal customers and vendors including event organizers, suppliers, agencies, and media outlets.
  • Establish and maintain relationships with vendors, booth contractors, event technology partners, and promotional material providers.
  • Manage event budgets and ensure cost-effective spending within financial guidelines.
  • Monitor spend, POs, and vendor payments to keep events within budget.
  • Collaborate with stakeholders across Marketing, Business Unit Leadership, Business Development, Sales, Product Management, Corporate Communications and Brand teams to ensure alignment on event messaging, delivery, brand, and customer experience.
  • Review and improve event management processes by incorporating best practices and current industry trends.

Ideal Candidate Has

  • Bachelor's degree in marketing, event management, business, or related field.
  • 3–5 years of experience in event coordination, trade show management, or related fields.
  • Proven track record in managing large-scale events and trade shows, preferably in a B2B environment.
  • Strong communication skills and ability to interact effectively with internal teams, vendors, and clients.
  • Excellent planning and organizational abilities to manage multiple events simultaneously.
  • Vendor management experience, including negotiating and maintaining relationships with vendors and suppliers.
  • Budget management proficiency with ability to track expenses.
  • Cross-functional collaboration skills with Sales, Marketing, and Product Management.
  • Problem-solving skills and the ability to handle unexpected issues quickly.
  • Attention to detail to ensure meticulous planning and execution of events.
