Role Summary

The Finance & Administration Coordinator will play a key role in supporting the financial operations, project budget management, and administrative needs of the organization. This position requires a detail-oriented, organized, and proactive individual who can manage priorities effectively, communicate clearly, and contribute to the smooth running of both day-to-day operations and long-term strategic initiatives.

Key Responsibilities

Finance File Management

  • Ensure timely follow-up and compliance of finances in collaboration with the internal accountant, external CFO, and key stakeholders.
  • Maintain accurate and organized financial records, ensuring proper filing and documentation of all financial transactions.
  • Assist with preparing and reviewing financial reports, expense summaries, and documentation for audits.
  • Support invoice processing, payments, and reconciliations as needed.

Project Budget Management

  • Gather, prepare, and distribute the necessary information for creating forecast budgets for each project in close collaboration with internal teams and external suppliers.
  • Assist in reviewing vendor proposals, contracts, and project estimates to ensure accuracy and alignment with budget goals.
  • Create purchase orders and follow up with suppliers to ensure timely delivery.
  • Support project teams in coordinating equipment delivery, setup, and logistics.

Administrative Support

  • Welcome and assist clients, visitors, and partners, ensuring a professional and friendly first impression.
  • Answer general phone calls and emails, directing inquiries to the appropriate team members.
  • Track and manage incoming parcels and oversee administrative inventory processes.
  • Contribute to planning and executing internal events and client meetings.

Qualifications & Skills

  • Diploma or degree in Accounting, Finance, Administration or Project Management.
  • Minimum of 3–5 years of experience in a similar role, preferably in a creative, technology, or project-driven environment.
  • Solid understanding of financial processes, budget management, and administrative best practices.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with accounting software (Quickbooks).
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Professional verbal and written communication skills in English (French is an asset).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proactive, resourceful, and adaptable with a positive, solutions-oriented approach.
