Job Description

As a Production Coordinator, you'll play a key role in ensuring the smooth execution of each project, from early pitch stages through to final delivery. You’ll work closely with producers, artists, and clients to ensure timelines, logistics, and communications are aligned every step of the way.

Responsibilities

Pre-Production

  • Support pitch development: organize folders, build pitch decks, coordinate key talent availability ("holds").
  • Schedule and coordinate key creative briefings (casting, styling, art direction, storyboards, etc.).
  • Build and maintain production calendars, schedule meetings and milestones (PPMs, fittings, tech scouts).
  • Help with logistics and liaise with vendors, freelancers, and crew.

Production

  • Confirm crew and talent bookings, coordinate call times and locations.
  • Facilitate communication between creatives, producers, clients, and agency partners.
  • Coordinate on-set logistics (hard drives, transport, catering, equipment, client services).

Post-Production

  • Ensure timely handoff of files and briefs to the post team (edit, VFX, color, retouch).
  • Track schedules for editing, color grading, online, and approvals.
  • Ensure final deliveries are complete and meet creative and technical expectations.

Administrative Support

  • Assist with contracts, invoices, purchase orders, per diems, and expense tracking.
  • Keep internal tools up to date (Monday, Google Drive, ShotGrid, etc.).
  • Liaise with unions (AQTIS, UDA, DGC) when applicable.
  • Archive project assets and close projects in coordination with production leads.

Qualifications

  • 3 years of experience in production coordination (photo, video, advertising or agency).
  • Strong organizational skills and the ability to manage multiple projects simultaneously.
  • Excellent interpersonal skills and the ability to communicate clearly with both creative and operational teams.
  • Proficiency with Google Workspace; familiarity with Monday, ShotGrid, or similar tools is a plus.
