Job Summary:The Executive Assistant provides high-level administrative and operational support to a senior executive within Firmwide Innovation. This role is responsible for managing complex executive calendars, travel arrangements, stakeholder communications, confidential information, meetings, and special projects while serving as a trusted partner to senior leadership. The position requires exceptional organizational skills, sound judgment, professionalism, and the ability to anticipate executive needs in a fast-paced corporate environment.Key Responsibilities:
- Manage complex executive calendars involving senior leaders, clients, and C-suite stakeholders.
- Coordinate meetings across multiple time zones and global locations.
- Prioritize competing requests and proactively resolve scheduling conflicts.
- Arrange meeting logistics, including conference rooms, video conferencing, catering, agendas, and presentation materials.
- Prepare executives for meetings by ensuring all required documentation and information is available.
- Serve as the primary point of contact for executive communications and inquiries.
- Screen phone calls, manage correspondence, and respond to requests on behalf of the executive when appropriate.
- Build a strong understanding of executive priorities, stakeholders, and business objectives to provide proactive support.
- Handle highly confidential information with discretion and professionalism.
- Track action items, follow up on outstanding requests, and ensure timely completion of deliverables.
- Support executive projects, off-site meetings, recruiting activities, team events, presentations, printing, filing, and business documentation.
- Coordinate complex domestic and international travel arrangements, including flights, hotels, visas, ground transportation, itineraries, and meeting schedules.
- Prepare and process expense reports while ensuring compliance with company policies.
- Support event-related budgeting, approvals, reconciliations, and expense tracking.
- Collaborate with executive assistants and cross-functional teams to ensure seamless administrative support.
- Provide coverage for other executive assistants during absences, vacations, and business needs.
- Maintain documentation and handover notes to support continuity of operations.
- Build and maintain strong relationships with internal stakeholders, business partners, and external contacts.
- Support local office operations, including meeting room coordination, team events, and office logistics.
- Perform additional administrative and operational duties as assigned.
- Proven experience supporting senior executives, leadership teams, or C-suite executives.
- Strong executive calendar management and scheduling experience.
- Experience coordinating domestic and international travel.
- Excellent written and verbal communication skills.
- Exceptional organizational, multitasking, and time management abilities.
- Strong attention to detail and accuracy.
- Excellent judgment, professionalism, and discretion when handling confidential information.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong stakeholder management and relationship-building skills.

- Ability to work independently with minimal supervision.

- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Microsoft Teams.

- Minimum typing speed of 50 words per minute.
- Flexibility to work additional hours when business needs require.
Education: Bachelors Degree
