Contexte et objectifs
The Team Coordinator colleague will report to the Senior Manager, Commercial Optimization and will be part of the Commercial Innovation Team.
The Team Coordinator colleague will work closely with the Teams (such as Sales, Marketing, Patient Support Programs, Customer Learning, Corporate Communications, Public Affairs, Global Health, and Social Impact) to support activities and increase operational efficiencies.
Responsabilités
- PO management: Support teams with PO and payment management, analyze activities and spend to identify savings. Identify innovative approaches to track more effectively spend that can be consistently used across supported teams. Remain current on internal tools and processes (Decideware, SAP, Ariba, etc.).
- Ensure adherence to the company’s compliance rules and regulations,
- Communication with suppliers re. POs, payments, and issue resolution,
- Operational support: Work with teams to support preparation of presentations for key business unit meetings, including Operating Plan, Consultant Meetings, Advisory Board Meetings, and Sales Meetings.
- Project management: Assist in assigned projects such as disease awareness days.
- Proactively provide BU Lead support and ensure all requests are followed up in a timely manner (calendar, travel arrangement, expenses).
- Plan and coordinate the various Team meetings.
- Support the coordination and implementation of key stakeholders’ activities (, Ad Board meetings), which includes occasional travel.
- Support optimal team performance by remaining current on business processes, procedures, and changes.
- Onboarding of new colleagues when required.
- Monitoring of mailboxes or phone lines as required.
- Suggest and implement new processes and tools as necessary.
- Demonstrates company Values and Leadership Behaviors including strict adherence to company policy and procedure as well as the IMC code.
- Identifies and reports adverse events and product complaints as per corporate procedure, including Your Reporting Responsibilities (YRR) training.
Qualifications
- Highly organized, self-motivated, collaborative, and adept at working on multiple tasks under tight timelines, managing change and priorities.
- Demonstrated success in budget and project management, solid understanding of accruals.
- Ability to manage competing priorities and work under pressure with tight timelines.
- Solid analytical skills and experience in tracking and reconciliation to ensure compliant and appropriate controls are in place (, budgets, invoicing, systems)
- Demonstrated ability to work independently as well as in a team- environment.
- Bilingualism: Effective verbal & written communication skills in French and English
