Scope of the Position :

Reporting to the PMO Director, the IT Project Coordinator is responsible to assist Directors and / or other PMs with various tasks as they manage IT projects.

You will also be in charge of coordinating project activities and resources alongside several project managers. The Coordinator will make sure to follow standards for project management and SDLC across the duration of all projects within IT and the organization.

Responsibilities :

  • Support the project managers, business, and 3rd parties throughout the project duration and acts as the main point of contact.
  • Support & monitor projects by ensuring tasks of the projects are completed in accordance with timelines and quality standards.
  • Monitoring and controlling the work plan (timeline, effort, scope, quality, budget), overseeing progress reports, updating project logs, and managing requisitions and invoicing
  • Analyze and assess project progress and support the program or portfolio manager in implementing mitigation measures.
  • Organize work of the project team in alignment of project goals.
  • Create project documentation and keep them up to date for the entire duration of the project, including versioning. This may include scope statement, project kickoff, Conditions of Satisfaction (COS), project calendar and work breakdown structure, defining deliverable acceptance and reporting procedures, manage risk and delivery quality.
  • Follow and promote the workflow and SDLC adopted by the PMO. You also bring ideas for improvements to the PM. Ensure deliverables meet acceptance criteria as defined in the SDLC and securing signoff.
  • Help Directors / PMs manage the financial aspects of the project (billing for services, following-up on payments, etc.).
  • Works with the PM and Director to define the project acceptance criteria for each project.
  • Works with the team to establish delivery dates for each task in the project and communicates accordingly.
  • Contribute to project completion activities : archiving reports, managing lessons learned and addressing outstanding issues.
  • Other duties as required

Requirements :

  • 2+ years in relevant field or project coordinator / management role experience.
  • Excellent written and spoken French and English.
  • Proven track record of successful project execution, tracking project deliverables and project scope.
  • Experience with PMO and SDLC best practices and adhere to established policies and procedures.
  • Experience with PMO and SDLC best practices.
  • Knowledge of Microsoft Office Applications, including MS Projects.
  • Contributes to a positive work environment.
  • Proven track record of successful project execution in applications and / or logistics projects
  • Ability to work in a highly collaborative and fast-paced environment.
  • Critical thinking, excellent listening skills, ability to take initiative and communicate clearly.
  • Excellent Follow up and Time Management skills.
