Support the construction team in the various administrative tasks. Work closely with the Senior Director, Engineering and Construction as well as the Project Control Director.

Attend meetings with contractors to obtain information relevant to the progress of the work. Will sporadically report on topics of interest in engineering and construction.

Schedule 5-2, teleworking with occasional travel to the Windfall site and the Montreal office, where his presence will be required in person from Tuesday to Thursday.

Task and Responsibilities

  • Perform administrative tasks such as filing, writing letters, presentations, etc.;
  • Organize, as required, conferences and various activities;
  • Responsible for the onboarding of new employees and contractors (computer access, PPE, etc.);
  • Prepare the documentation issued by the various firms for review by the Director of Engineering and Construction;
  • Manage sensitive information confidentially;
  • Participate in engineering meetings and validate that the schedule for the transmission of documents is respected;
  • Carry out requisitions in the Guide TI ;
  • Schedule and confirm appointments and meetings;
  • Establish and maintain manual and computerized systems for filing information files;
  • Record and prepare minutes of meetings;
  • Organize travel and make necessary reservations;
  • Compile, as appropriate, data, statistics and other information to support follow-ups;
  • Return the plans annotated by the Windfall team to the various firms so that they can make the corrections;
  • Validate that the corrections were made to the plans by the various firms when Windfall's comments were issued;
  • Comply at all times with health, safety and environmental policies and rules in the event that certain elements are brought to his or her attention during audits;
  • Perform any other related tasks.

Qualifications

  • Professional or college diploma in administrative management, or equivalent relevant experience in a construction site organization or with an engineering firm;
  • Have 3 to 5 years of experience in a similar position;
  • Hold a valid Class 5 driver's license;
  • Bilingual (French, English). Will be called upon to work with French and English-speaking consultants.

Technical skills

  • Knowledge of the various stages of a construction project is an asset;
  • Good knowledge of the various engineering disciplines is an asset;
  • Proficiency in Microsoft Office Suite and Guide TI software (an asset).
